A fertilizer dealer who holds both a wholesale and a retail licence keeps two stocks of the same product: the wholesale stock that is sold to other dealers and the retail stock that is sold over the counter to farmers. This report follows one of those two stocks, called a pool, for each item over a period: what it opened with, what came in, what moved between the pools, what went out and what is left.

Open the report

Press Alt+5 for Stock Reports, then Z for More Stock Reports and B. The report opens for the financial year from its first day to today, for the Whole sale pool, all categories, in units. Choose the fertilizer category in Category to list only fertilizers, as in the screenshots.

The Whole sale pool for FERTILIZERS: eight items with page, technical name, opening, inward, transfer in, total available, outward, transfer out and closing, and the total line 530, 3,720, 0, 4,250, 1,598, 1,961 and 691 Dap 18-46-0 opened with 40 wholesale bags, 800 came in on purchase bills, 356 went out on sales and 290 were transferred to the retail pool, which leaves 194.

What it lists

One line for each item that had inward stock, outward stock or a transfer in the pool during the period. An item that only holds stock, with none of these in the period, is left out even though it has an opening and a closing stock. Items come in name order, or in register page order with the Order choice.

The report reads stock by pool. A stock entry counts in a pool in one of two ways:

  • the pool given to it in Stock Transfer / Godowns (3 J), where each stock entry of an item (the opening stock, a bill line, goods in or out) can be given to the wholesale or the retail pool, part by part;
  • or, for the rest of a bill line, the sale type of its bill book (the W/R choice of the book in 8 C).

Stock that has no pool counts in neither pool, so it appears in neither pool of this report. When some entries have no pool, the help of the report (the ? beside its title) says how many.

What each column reads:

  • Inward: purchases and sales returns in the pool, and goods received (1 P).
  • Outward: sales and purchase returns in the pool, and goods delivered (1 P).
  • Transfer in and Transfer out: transfers (3 J Transfers) that give the pool its stock or take stock from it. A transfer between two godowns within the same pool counts in both columns of that pool, so its Closing does not change.

A bill counts on the day it is posted: a sale or a purchase return on the bill date, a purchase or a sales return on the date in its Recd. field. Goods received or delivered count on their own date. A bill made from goods already received or delivered counts only the units those goods did not cover. A transfer between godowns with no pool given is left out; the help of the report says how many there are.

Damage and breakage entered in 1 V are not read by this report.

Columns

Column What it shows
Page The item’s page in the fertilizer register, when it has one.
Product The item’s name.
Technical name The item’s technical name.
Opening The stock of the pool at the start of the From date: its opening stock, and everything that came in, went out or was transferred before From.
Inward Units that came into the pool from the From date to the To date.
Transfer in Units transferred into the pool in the period.
Total available Opening + Inward + Transfer in.
Outward Units that went out of the pool in the period.
Transfer out Units transferred out of the pool in the period.
Closing Total available − Outward − Transfer out.

The line under the grid counts the items and adds up each column. The status line says how many items are listed and the unit of the quantities.

Choices

Choice What it does
Pool Whole sale (the usual when the report opens) or Retail.
Category One item category, or * All.
From, To The period, both days included. Both dates must fall in the financial year. If you set From after To, the To date moves with it.
Qty in Units (the usual) or Tonnes.
Order Item (name order, the usual) or Page (the item’s register page number, then name; items with no page number come first).
Find Shows only the items whose product name, page or technical name matches what you type.

Click a column title to sort by it, and click again to reverse. Every choice is kept in the page address, so Copy link gives a link that opens the same report.

The choices: Pool Whole sale, Category FERTILIZERS, From 01-04-2026, To 18-10-2026, Qty in Units, Order Item and Find The choices above the grid.

How the figures are worked out

For each item, in the chosen pool:

  • Opening = the opening stock given to the pool + everything that came in, went out or was transferred in or out of the pool before the From date.
  • Inward, Outward, Transfer in, Transfer out = the same movements dated from the From date to the To date, both days included.
  • Total available = Opening + Inward + Transfer in.
  • Closing = Total available − Outward − Transfer out.

In units, each of Opening, Inward, Outward, Transfer in and Transfer out is rounded to a whole unit before Total available and Closing are made.

For Dap 18-46-0 in the whole sale pool: 40 + 800 + 0 = 840 available, and 840 − 356 − 290 = 194 left. The retail pool gets the 290 as Transfer in:

The Retail pool for FERTILIZERS in units: Dap 18-46-0 with opening 20, transfer in 290, total available 310, outward 300 and closing 10, and a total closing of 80 The same items in the retail pool. Dap 18-46-0 opened with 20 bags, received 290 by transfer, 300 went out on sales and 10 are left. The 194 in whole sale and the 10 here are the 204 bags the item has in all.

Because a transfer only moves stock from one pool to the other, the closing stocks of the two pools add up to the stock the item has, as long as all its stock has been given to a pool and apart from damage and breakage.

Tonnes

With Qty in set to Tonnes, every figure is the units multiplied by the item’s pack size in kilograms or litres and divided by 1,000, rounded to three decimals. A 50 Kg bag counts as 0.05 tonne.

The Retail pool in tonnes: Dap 18-46-0 with opening 1, transfer in 14.5, total available 15.5, outward 15 and closing 0.5, and a closing total of 2.97 Dap’s 290 bags transferred in are 14.5 tonnes, and its 10 bags left are 0.5 tonne.

A later period

When From is later in the year, what happened before it becomes the opening.

The Whole sale pool from 01-09-2026 to 18-10-2026: Dap 18-46-0 with opening 191, inward 200, total available 391, outward 81, transfer out 116 and closing 194 From 01-09-2026, Dap’s wholesale opening is 191, the stock it had on 31-08-2026. The closing stock, 194, is the same as for the whole year.

Open, print and export

A line Order : Page or Find : is added when you chose them. The print adds the page number beside the serial number.
  • F12 saves it as an Excel workbook.
  • Alt+Enter gives the whole window to the list.

The printed statement: the letterhead, STOCK DAILY MOVEMENT STATEMENT, Category FERTILIZERS, the licence numbers, Date Range 01-09-2026 To 18-10-2026, Whole Sale and the eight items with their totals The print of the whole sale pool from 01-09-2026, with the register page beside each serial number.
