The Department Stock Statement lists every item with its technical name, trade name, manufacturer and packing, and the stock you opened the period with, what came in, what went out and what is left. Print it as the Stock Report to show an inspector or licensing officer what you hold. It is the statement under Department Reports, next to Form X, Appendix B and Form N.

Open the report

Press Alt+5 for Stock Reports, then N for Department Reports, then 5 for Stock St. It opens for the financial year from its first day to today, for all categories, with one line for each item.

The Department Stock Statement from 01-04-2026 to 18-10-2026: 28 items with technical name, trade name, manufacturer, packing, opening, inward, total, outward and closing, and a total line of 1,336 in closing stock Acephate 75 Sp, first in the list, opened with 40, took in 242, sent out 280 and has 2 left.

What it lists

One line for each item that has stock or movement in the period. An item is left out when its opening stock, every movement, any damage and its closing stock are all nil. Tick Zero balances to list it anyway.

The movements are the same ones the Stock Ledger lists:

  • purchase bills, sale bills, sales returns and purchase returns, on the date each bill is posted;
  • goods received or delivered on a challan (Goods In / Out, 1 P), on the date of the entry;
  • damage and breakage entered in 1 V.

The item’s opening stock (3 G) is the starting point; the movements before the From date are added to it to give the period’s opening.

Columns

Column Print title What it shows
S.No S.No The line’s number.
Technical name Technical Name The item’s technical name.
Trade name Trade Name The item’s trade name, its name without the packing. An item with no trade name shows its full name.
MFG company MFG Company The item’s manufacturer.
Packing Packing The item’s packing.
Opening Op.Stock The stock at the start of the From date.
Inward Inward Units received: purchases and sales returns.
Total Total Opening plus Inward.
Outward Outward Units that went out: sales, purchase returns and damage.
Closing Cl.Stock The stock at the end of the To date. A negative stock is red.

The line under the grid counts the items and adds up Opening, Inward, Total, Outward and Closing. Columns hides any column except the trade name; the print leaves them out too.

Choices

Choice What it does
Category Lists only the items of that category. * All lists every category.
From, To The period, both days included. Both must fall in the financial year. It opens from the first day of the year to today.
Summary Shows only the Closing figure of each item. Items whose closing stock is nil are left out, unless Zero balances is ticked.
Zero balances Lists items with nothing in any column too.
Find Shows only the items whose name, technical name, manufacturer or packing matches what you type.

The usual order is by trade name, then by packing. Click a column title to sort by it, and click again to reverse. Shift+click another title to sort within the first. Every choice is kept in the page address, so Copy link gives a link that opens the same statement.

The report’s choices: Category * All, From 01-04-2026, To 18-10-2026, Summary, Zero balances and Find The choices above the list.

How the figures are worked out

For each item (purchases and sales here include goods received and delivered on a challan):

  • Opening = the item’s opening stock + purchases + sales returns − sales − purchase returns − damage, counting only what was posted before the From date.
  • Inward = purchases + sales returns, posted from the From date to the To date, both days included.
  • Outward = sales + purchase returns + damage, posted from the From date to the To date.
  • Total = Opening + Inward.
  • Closing = Total − Outward.

For Acephate 75 Sp 500 Gm in the screenshot: 40 + 242 = 282, and 282 − 280 = 2. Inward is 240 purchased plus 2 returned by a customer; Outward is 273 sold, 4 returned to the supplier and 3 damaged.

Acephate 75 Sp, marked: opening 40, inward 242, total 282, outward 280 and closing 2 The line of one item, found with Find.

The totals are the sums of each column over the items listed. The quantities are always in units (packs), as on the bills; the status line says so.

Summary

Summary hides every figure but the closing stock and leaves out the items with nothing left (unless Zero balances is ticked). The total is the sum of the closing stocks, the same as without Summary (1,336).

The summary: the same items with only the Closing column, totalling 1,336 Summary shows the closing stock only.
