Supplier Outstanding lists what you owe each supplier, area by area. For a period you choose it shows each supplier’s opening balance, the debits and credits posted in the period, and the closing balance. Use it to see which suppliers to pay and how much, and to check the figures against a supplier’s own statement.

Open the report

Press Alt+7 for Special Reports, then V. The report opens for the financial year from its first day to today, for all areas and both kinds of supplier, with debit and credit balances.

Supplier Outstanding for 01-04-2026 to 18-10-2026: suppliers in four areas, each area with its total, and 3,84,040.00 Cr to pay in all Each area is a heading with the number of suppliers under it and their totals.

What it lists

One line for each account of type Supplier or Customer - Supplier that has a City / town. The report calls the City / town its Area. The areas are in name order, and the suppliers in each area in name order.

  • A supplier with no City / town is not listed. Enter it in the account (Change an account) to bring the supplier in.
  • Customers and farmers are not listed here; see Customer Outstanding.
  • Everything posted to the supplier’s account counts: its opening balance, purchase bills, returns, notes, payments, journals and charges.
  • A supplier whose closing balance is nil is left out unless you tick Zero balances.

Columns

Column What it shows
Supplier Name The supplier’s trade name, or the account name when there is no trade name.
Mobile The account’s phone, or when that is blank the phone, then the alternate phone, of its default address.
Op.Bal The balance at the start of the period, marked Dr or Cr.
Tr.Debit The debits posted in the period.
Tr.Credit The credits posted in the period.
Cl.Debit The closing balance, when it is a debit.
Cl.Credit The closing balance, when it is a credit.

With Summary ticked, the Op.Bal, Tr.Debit and Tr.Credit columns go and the name, Mobile and closing columns stay. Columns (at the top right) hides the Mobile, Op.Bal, Tr.Debit, Tr.Credit, Cl.Debit or Cl.Credit column that the view shows; the print leaves it out too.

Click a column title to sort the suppliers by it, and click again to reverse. Shift+click adds a second sort. The suppliers are sorted inside each area; the areas stay in name order.

Zero balances

A supplier you have paid in full has a closing balance of nil, so the list leaves the supplier out. Tick Zero balances to see it. Krishnaveni Seeds below had 95,000.00 of purchases and 95,000.00 of payments in the period.

Zero balances ticked: Krishnaveni Seeds in Guntur with 95,000.00 debit and 95,000.00 credit in the period and no closing balance Equal debits and credits leave nothing to pay.

A supplier you have paid in advance

When you pay a supplier more than you owe, the closing balance is a debit: the supplier owes you. It shows under Cl.Debit. After a cash payment of 10,000.00 to Krishnaveni Seeds, which had a nil balance, the report lists Krishnaveni Seeds, now under Guntur, the first area, with 10,000.00 in Cl.Debit.

Supplier Outstanding after the advance: Guntur and Krishnaveni Seeds first, with 10,000.00 in Cl.Debit, and a closing debit total of 10,000.00 The Cl.Debit column holds the advance paid.

Krishnaveni Seeds, Tr.Debit 1,05,000.00, Tr.Credit 95,000.00 and Cl.Debit 10,000.00 Debits of 1,05,000.00 less credits of 95,000.00 leave 10,000.00 Dr.

Balances

Credit keeps the suppliers you owe money to and leaves out suppliers with a debit balance. Debit keeps only the suppliers with a debit balance.

Balances set to Credit: the five suppliers with a closing credit, Krishnaveni Seeds no longer listed With Credit, the advance to Krishnaveni Seeds is not listed.

Summary

Tick Summary to see only the closing balance of each supplier, with its name and Mobile. With Balances set to Debit or Credit, only that side’s column is shown.

Summary ticked: each supplier with its mobile number and the Cl.Debit and Cl.Credit columns only, and 10,000.00 and 3,84,040.00 in total The same suppliers with closing balances only.

How the figures are worked out

For each supplier SimplyERP adds up its postings in the books:

  • Op.Bal = the account’s opening balance + everything posted to it before the From date. Credits less debits; a credit balance is marked Cr.
  • Tr.Debit and Tr.Credit = the debits and credits posted from the From date to the To date, both days included. A purchase bill is a credit to the supplier; a payment to the supplier is a debit. The opening balance is not counted here.
  • Closing = Op.Bal + Tr.Credit − Tr.Debit. A positive result is a credit, shown under Cl.Credit; a negative result is a debit, shown under Cl.Debit. The suppliers in the example: 22,000.00 Cr + 3,16,252.00 − 2,86,950.00 = 51,302.00 Cr for Deccan Agrotech Distributors.

An area line adds up its suppliers. Its Op.Bal is the difference of the suppliers’ opening debits and credits, so Hyderabad’s is 22,000.00 Cr + 48,000.00 Cr = 70,000.00 Cr. The totals line under the list does the same for every supplier listed, and the line below it gives the closing debit and credit totals and the net balance.

The totals line, Total 6 accounts, and the status line: 6 accounts in 5 groups, Closing Dr 10,000.00, Cr 3,84,040.00, Net 3,74,040.00 Cr The status line gives the number of suppliers and areas, the closing Dr and Cr, and the net balance.

The report is read from the postings on the supplier’s account, so it agrees with the supplier’s ledger for the same period.

Open, mark, print and export

  • Enter on a supplier opens its ledger for the same period. Back returns to the same line.
  • F2 or Space marks a supplier and F8 marks them all. F10 then prints only the marked suppliers, with their area lines worked out again. The status line shows how many are marked.
  • F10 prints the report as it is on the screen, as SUPPLIERS OUTSTANDING St. with the period and your choices in its heading. After the last supplier come the totals and, when the Op.Bal column is shown, the opening balance split into debit and credit.
  • F12 saves it as an Excel workbook.
  • Alt+Enter gives the whole window to the list.
